GPS attendance for field teams: managing time across multiple locations

When employees work across job sites, branches and client locations, one fixed time clock cannot capture the whole picture. A sound attendance policy connects check-ins to approved locations, employee access, and an exception-review process.

What is location-based attendance?

A company defines approved workplaces and geographic boundaries. Employees check in or out using a mobile app under the organization's rules. This creates reviewable records instead of disconnected manual time sheets.

GPS is context, not proof that phones or networks are perfect. Poor signal, limited connectivity, and reassignment between sites still need a documented response.

When is it useful?

Location-aware attendance is particularly relevant for distributed maintenance teams, branch operations, temporary project sites and other teams where installing a device at every location is impractical.

  • Maintenance and service employees starting at different customer locations.
  • Branches and warehouses with different managers and permissions.
  • Field operations that require attendance review before period close.

Five questions to ask before adopting it

A map alone is not an attendance control. Verify the operating policy, including edge cases.

  • Can each employee be assigned to the right approved work location?
  • What happens with inaccurate GPS or unstable connectivity?
  • Do managers see only the staff within their scope?
  • Are absence, lateness, corrections and exception reviews recorded?
  • Can the period be closed and time inputs prepared for payroll review?

How RAKZ fits

RAKZ supports attendance in the context of approved workplaces, operational exception reviews and preparation of time records. Pilot one team before rollout and explicitly test late arrivals, early departures, location mismatches and weak networks.

Policies and available integrations depend on the customer's configuration and the agreed scope. GPS does not replace HR judgment or controls.

Frequently asked questions

Does GPS prevent all attendance fraud?

No. Location, account security, policy and exception review work together to reduce risk, not eliminate it.

Do we need a biometric clock at every branch?

Not necessarily when mobile attendance aligns with company policy; site-specific needs may vary.

Does attendance automatically run payroll?

RAKZ can help prepare attendance inputs for review. Confirm supported delivery formats and integrations before relying on automatic synchronization.
