Employee attendance without fingerprint hardware: how should you choose?

If your team works across locations, replacing a fixed attendance device starts with a better question than 'Does it have an app?' Ask how the system verifies work context, how managers review exceptions, and what happens if a check-in cannot be recorded.

What does attendance without fingerprint devices mean?

Instead of a separate fingerprint terminal, employees record their arrival and departure using another method, such as a mobile app. The app may check workplace location, Wi-Fi, or other enabled controls. This does not necessarily involve a fingerprint scan or facial recognition.

The meaningful change is not simply a different screen: it is a reviewable attendance record, exceptions, requests and policies. Mobile systems differ in verification quality and offline behavior.

Fingerprint terminal or mobile check-in?

Neither is always the better choice. Consider your actual worksites, policies and employee devices.

ConsiderationFixed attendance deviceEmployee mobile app
Check-in pointTypically at a device installed at the site.On the employee's phone when performing the action.
Multiple worksitesMay need hardware and administration at each site.May allow centrally configured sites, if the product supports the right controls.
Location contextPhysical presence at the terminal is part of the flow.May use geolocation and workplace Wi-Fi; accuracy and limitations need testing.
Outages and connectionA device or local network outage can affect check-in.Phone battery, permissions or poor connectivity can affect check-in.

Seven questions to ask before choosing

Use this checklist with any provider, including RAKZ.

1. How are worksites configured?

Ask if you can define approved worksites and Wi-Fi networks and apply relevant controls.

2. What if connectivity or permissions fail?

Test loss of Internet, missing location permission and unverifiable check-ins. Do not assume offline support.

3. When is location checked?

Understand what is collected at check-in versus throughout the workday and how employees are informed.

4. How are exceptions handled?

Ask about missed punches, late arrivals, absences, adjustments, approvals and audit history.

5. What does management actually see?

Review web reporting and role-based access with your real operational team.

6. How does this relate to payroll?

Validate available exports and the approval process, and verify any promised payroll integration.

7. What is the all-in price?

Compare base price, Saudi VAT at 15%, worksite/employee limits, history retention and contract terms.

Run this pilot scenario before deciding

A short realistic workflow tells you more than feature labels.

  1. Set the policy

Configure an approved location or Wi-Fi network and assign a reviewer.

  2. Record attendance

Check in and out from an employee device and confirm the recorded outcome.

  3. Try an exception

Use a non-approved location or a missed check-in; review the message and recovery process.

  4. Review results

Inspect the attendance record, report, exceptions and approval controls.

  5. Confirm the invoice

Check the final checkout amount including VAT, not just the advertised base price.

Important limits before retiring hardware

  • Geolocation checks are not an absolute guarantee against all forms of misuse. Assess device controls, company policy and uncertain events.
  • An approved Wi-Fi network is not necessarily accessible to every employee or device. Test network and permissions on real phones.
  • Attendance records and payroll inputs are not the same as complete payroll calculation and disbursement. Verify each capability separately.

Where RAKZ fits

RAKZ is a WESSAAL employee attendance product with iOS and Android apps and web-based management for records, requests and reports. It supports workplace location and Wi-Fi context checks under enabled organization settings, rather than continuous employee GPS tracking.

If you want a mobile check-in flow without a separate fingerprint terminal, review your worksite controls and the current plan limits first. WESSAAL handles purchase, billing and subscriptions. Do not assume a feature or integration is included until you verify the plan.

Questions before you buy

Does mobile attendance require fingerprint scanning?

Not necessarily. Mobile attendance can use workplace context checks rather than a separate fingerprint terminal. Exact controls depend on the product.

Does every mobile attendance app work offline?

No. Check the real product's capture and synchronization behavior before purchase and test connectivity loss in a pilot.

Does workplace location verification track staff all day?

Not necessarily. RAKZ's public location use is tied to the attendance action, not an ongoing background GPS log.

How do I calculate the VAT-inclusive price?

Add Saudi VAT of 15% to the displayed VAT-exclusive price, then verify the monthly or annual total at checkout.
